Grant Administrator - RED

This is a hybrid role that requires two days in the office in Manhattan.

The Claims Conference is looking to hire a full-time Grant Administrator to join the Allocations department on the RED (Research, Education and Documentation) team in our New York office. The Claims Conference initiates and administers its own projects through various departments. However, administration, including reporting and payment, must go through the RED division of the Allocations Department. This position will offer strong financial and administrative support for these internal programs.

Headquartered in New York with additional offices in Israel and Germany, the Claims Conference is a global, non-profit organization committed to providing a small measure of justice to Holocaust Survivors. Since our founding in 1951, the Claims Conference has secured more than $90 billion from the German government in indemnification for Survivors. In 2023, the Claims Conference distributed approximately $625 million in direct compensation to over 260,000 survivors in 83 countries and allocated approximately $750 million in grants to over 300 social service agencies worldwide that provide vital services for Holocaust survivors, such as home care, food, and medicine. Our Research, Education, and Documentation (RED) funds contribute toward global efforts to educate the public and preserve the memory of the Holocaust through teacher training programs, exhibitions, and films such as Son of Saul, an Academy Award winner for Best Foreign Film. At the Claims Conference, we honor history while making history.

Responsibilities:

  • Maintain relationships with stakeholders, understand proposals and programs, and ensure compliance with grant guidelines and internal policies;
  • Assist internal applicants in the development of internal project budgets; collaborate with Manager of Grant Accounting on final approval;
  • Communicate with stakeholders, ensuring proposals and project descriptions are entered in FLUXX (grant management system) and presented to all reviewing committees;
  • Review and analyze grant program budgets, contracts and letters for accuracy and compliance, proposing edits and improvements as appropriate;
  • Review and analyze grant reports and payment requests (assess expense receipts for budgetary compliance), including the use of Excel, to match financial expenditures with progress and timetables (including converting expense receipts in multiple currencies and languages);
  • Complete reporting spreadsheets for projects and payments into FLUXX;
  • Submit requests for currency conversions to accounting for payments and contracts;
  • Process grant allocation payments in a timely and efficient manner per established procedures, resolving any payment discrepancies, maintaining up to date paperwork;
  • Record notices of grant extensions, transfers, and all amendments in FLUXX;
  • Assist with preparation of reports and projects as needed.

Qualifications:

  • Bachelor’s degree in Accounting/Finance/Economics or equivalent work experience;
  • One+ years of experience in financial services or data analysis
  • Proficient in Microsoft Office, including advanced skills in using Excel and creating spreadsheets;
  • Strong quantitative skills;
  • Excellent attention to detail and accuracy;
  • Ability to multitask;
  • Ability to meet deadlines;
  • Strong time management, organizational, analytical, and interpersonal skills;
  • Excellent written and verbal English skills;
  • Preferred knowledge in accounting or bookkeeping;
  • Fluency in other languages is preferred but not required.

The Claims Conference offers generous benefits, opportunities for professional growth, and competitive salaries based on geographic location. Our target salary range for Grant Administrator in the New York City market is $60,000-$65,000. This salary range represents Claims Conference’s good faith and reasonable estimate of the range of possible compensation for this role at the time of posting. The final salary for this role will be determined based on careful consideration of a variety of factors, such as the candidate’s exact location, experience in similar roles, and expertise related to the qualifications.
